Frequently Asked Questions – ILLs
The ILL Service aims to obtain material not held in DkIT Library, and make it available on request.
Books, book chapters, journal articles, proceedings of a conference, Government publication, technical reports and theses (in certain cases).
What material is not available through the service?
Material listed as Special Collection, Reference Material, Early Printed Material, Research Items, Theses (in certain cases) and Short Loan is not available for loan from any library. Videos, DVDs and CDs cannot be borrowed through the service.
Most library members can request an item through ILL. Please enquire at the Library Issue Desk for more information.
You request an ILL when the item is not available from DkIT Library or databases. Journals may be available in more than one database. This can be checked using our e-journals portal.
DkIT students who attend an ILL tutorial receive ILLs free of charge for that academic year; the Library will cover the cost of these requests. Tutorials are held regularly throughout the year – check your student email for details or come into the Library to enquire.
Institute staff and Research Postgraduates receive ILLs free of charge.
For external members and students who do not attend a tutorial, the fees are as follows:
€20.00 for a book loan per request
€15.00 for a photocopy per request
All requests must be submitted through the forms available on the Library website at http://ww2.dkit.ie/library/services_and_facilities/inter_library_loan_request. Please ensure that you complete the forms as fully as possible. Requests for journal articles must be accompanied by a Copyright Declaration Form. A copy of the form can be printed from here. Click on the link to the CDF at the bottom of the page. Return the completed and signed form to the Issue Desk, within one week of submitting your original request.

How long does an ILL take to arrive?
We cannot guarantee a delivery date.
Books are usually on loan for 2/3 weeks - the due date is determined by the lending library. Some requests may be for library use only - this is at the request of the supplying library and is a condition that must be adhered to. Journal articles do not need to be returned.
How will I be notified about the progress and arrival of of my request?
All notices will be sent to your Institute email account only. It is up to you to check your email regularly and to respond as quickly as possible to any emails you receive. You can contact us at interlibrary.loans@dkit.ie
You will receive an email when your ILL arrives. Book requests and some journal articles are collected from the Issue Desk in the Library.
How do I collect my journal articles and chapter requests?
Journal article and chapter requests are usually delivered straight to your Institute email account by Secure Electronic Delivery (SED). This means that an email containing a link to your request will be forwarded to you by the Library. The link must be accessed within 14 days; after this time it can no longer be accessed. You may only access the link once and print a single copy of the document. You may not save the document in any electronic form.
In order to view a document received by SED you must have the most recent version of Adobe Reader 8 and Adobe Digital Editions downloaded and installed on your computer. This software is available on all computers in the Library and is freely available on the internet. Click here to download a test document to make sure the program is set up before accessing the link to your document.
There is no limit to the number of requests you can make; however, you should note that you cannot renew ILLs and you should therefore take time restrictions into account.
Are there any restrictions on what I can request?
Due to copyright regulations you may not make duplicate requests for an article which has already been supplied to you.
For copyright reasons the Library cannot supply a number of individuals with the same material for the same purpose at the same time. If multiple copies are required please contact the ILL Service.
No, ILLs can not be renewed. A period of six weeks from the original due date must elapse before an interlibrary loan can be re-requested.
It is not possible for us to cancel requests, so once you make a request you are liable for the cost of the loan.
Can the lending library recall an ILL?
Yes, an ILL can be recalled at any time by the lending library. If this happens we will contact you by email.
Are fines charged for overdue items?
Yes - €1.00 per day for the first two days and €5.00 per day thereafter.
Overdue loans may result in restricted use or withdrawal of the ILL service.
Please note that if you lose an item you are liable for the replacement cost plus fine. The lending library determines the replacement cost – for example, British Library charges €184 for lost items.
